By confirming your itinerary with us, you expressly accept the terms and conditions detailed below.

1. Booking and Confirmation Process

• Consultation and Customized Design: Every journey begins with a tailor-made consultation. We create an exclusive itinerary based on your individual preferences for adventure, accommodation type, and travel style.
• Guarantee Deposit: To formally initiate the blocking and reservation of logistical services (hotels, certified local guides, transport companies, and adventure activities), a deposit equivalent to 30% of the total package cost is required.
• Final Confirmation: The booking will be considered formally confirmed once the 30% deposit has been duly received and processed by our finance department, at which time the official travel voucher and service contract will be issued.

2. Payment Terms and Deadlines

• Settlement of the Remaining Balance: The total remaining balance of the trip must be settled and paid in full no later than 45 days before the scheduled start date of the contracted services.
• Last-Minute Bookings: For itineraries designed and requested less than 30 days prior to the arrival date, immediate payment of 100% of the total trip value will be required to proceed with vendor confirmations.
• Payment Methods: We provide secure processing platforms for international bank transfers and electronic payments with major credit or debit cards. Specific banking details will be provided transparently during the invoicing process.

3. Itinerary Modifications

At the Traveler's Request

We completely understand that travel plans can change unexpectedly. We will do everything in our power to adapt to your new dates or manage the substitution of specific activities. Any modification requested after final confirmation will be strictly subject to the operational availability of our local providers and may incur additional administrative fees, as well as seasonal rate adjustments.

Due to Force Majeure or Logistics

On rare occasions, due to unforeseen factors entirely beyond our direct control (extreme weather conditions, unexpected government closures of National Parks, or official safety alerts), Kalkonu Travel reserves the right to modify a specific activity or accommodation. This is done with the primary objective of ensuring your well-being, physical integrity, and safety. In such exceptional circumstances, an alternative of equal or higher category will always be offered.

4. Cancellation and Refund Policy

All cancellation requests must be formally notified in writing by the booking holder to our operations team via the official email info@kalkonu-travel.com. Applicable refunds will be carefully calculated based on the notice period given prior to departure:

Important Note on Third Parties: Certain boutique accommodations, exclusive private transport services, or specialized high-season activities maintain strict cancellation policies that may differ entirely from the general rules stated here. These specific and independent conditions will be duly communicated to you prior to making any payment.

5. Travel Insurance and Limitation of Liability

Mandatory Travel Insurance: Kalkonu Travel operates under the highest international safety and risk management standards; however, outdoor adventure activities carry inherent, unavoidable risks. It is an indispensable and mandatory requirement that all travelers purchase a comprehensive travel insurance policy that widely covers accident medical assistance, rescue, loss of baggage, and flight cancellations.

Limitation of Liability: Our agency acts strictly as a trusted intermediary between travelers and the final service providers (hotel establishments, carriers, independent certified guides). Although we meticulously select each commercial partner based on strict excellence criteria, we do not assume direct liability for negligence, material loss, itinerary delays, or damages caused by third parties or fortuitous events of nature.

6. Commitment to Sustainability and Respect for the Environment

By traveling with us, you actively integrate into the spirit of responsible and conscious tourism. We expect our travelers to strictly and exemplarily respect the environmental regulations of the destinations (such as the legal ban on single-use plastics in protected areas and National Parks, proper waste management and separation, and the absolute prohibition of feeding, touching, or invasively interacting with wildlife), as well as the ancestral cultural values and traditions of the host communities.
